From clock-in to payday in four steps

One flow for the whole team, whether they're at a desk, on a site or moving between them.

Clock in

Staff clock in on their own phone, by tapping an NFC tag on the wall, by scanning the site's QR code, or with a PIN on a shared tablet. You choose which ways count for each team.

  • GPS checked against the site's fence
  • Breaks started and ended in the app
  • Forgotten clock-outs closed for you

See who's in

The live board shows who's clocked in, on a break or out, at which site, and whether they were inside the fence. Turn on alerts for anyone not in yet.

  • Updates within seconds
  • Filter by site, search by name
  • Late and not-in-yet alerts

Approve hours

Timesheets add up hours, breaks and overtime by your pay rules. Fix a missed clock-out with a reason, approve the week, and close the pay period so nothing changes after payroll.

  • Every change has a reason and is logged
  • Overtime and pay rules per team
  • Pay periods you close and lock
KiteClock timesheets for one week: hours per day for each person, the total and their pay.

Send to payroll

Export the closed period as a file your payroll software imports: BrightPay or Sage 50 Payroll, a timesheet file laid out for Xero Payroll UK, or a plain CSV. Approved holiday and sick leave go in too.

  • Matched by payroll number
  • Holiday and sick hours by leave type
  • Holiday balances in the file

Four ways to clock in. You pick what counts.

Clock-in policies decide which ways each team can use, and whether they must be inside the site's fence. A driver can clock in on the road; a guard has to tap the tag on site.

Phone with GPS
The location is read once, when they tap, and checked against the site's fence. Never in the background.
NFC tags
A tag on the wall at each site. Staff hold their phone to it to open KiteClock and clock in.
QR code
Show the site's code on a screen: it changes every 30 seconds, so a photo of it is no use later. Or print a fixed poster.
Kiosk and PIN
One shared tablet at the door. Each person clocks in with their own 4-digit PIN.

Built around UK rules, not adapted to them

Holiday
5.6 weeks a year, pro rata for part-time staff, and 12.07% of hours worked for irregular-hours and part-year workers, whose holiday also keeps building up during sick and family leave.
Breaks
A 20-minute break for shifts over 6 hours by default, rest-period checks on the rota, and a list of missed, short or late breaks to review.
UK time
Everything runs on UK time, including the clocks going forward and back. Overnight shifts stay whole, with hours split at midnight for pay.

A week's rota in KiteClock: each person's shifts by site and position, with planned hours per day.

Plan the rota. Staff see it on their phone.

Build the week by person or site, publish it, and everyone sees their shifts in the staff app and their phone's calendar.

  • Staff confirm shifts, or say they can't make it
  • Open shifts people can claim, and swaps you approve
  • Rest-break and working-time checks as you plan
  • Planned hours and labour cost per day

Questions

What is KiteClock?

KiteClock is a clock-in and attendance app for UK businesses with shift, site or mobile staff. Staff clock in by phone, NFC tag, QR code or kiosk; managers see who's in, plan the rota, approve timesheets and export hours to payroll.

Do my staff need to download an app?

No. The staff app opens in the phone's web browser from a link, on iPhone and Android, and they can add it to their home screen. Shared tablets work as a kiosk the same way.

Does KiteClock track staff location all the time?

No. When someone clocks in by GPS, their phone's location is read once, at the moment they tap, and checked against the site's fence. It is never tracked in the background.

Which payroll software does it work with?

KiteClock makes import files for BrightPay and Sage 50 Payroll, a timesheet file laid out for Xero Payroll UK, and a plain CSV for anything else. KitePay, the Kite family's own payroll software, will get a direct link.

How does it handle holiday?

Holiday follows UK rules: 5.6 weeks a year, pro rata for part-time staff, and 12.07% of hours worked for irregular-hours and part-year workers. Staff request time off in the app and see their balance; managers approve it against the rota.

Is KiteClock really free?

Yes, for teams of up to 10 people: every feature, not a trial, no card needed. Everyone you add counts towards the 10, including people who have left. Bigger teams have paid plans, with a 14-day free trial.

How much does it cost for a bigger team?

Paid plans start at £24 a month, billed yearly, for the first 30 people. See the pricing page for each plan.
