The employee time clock app for UK teams

Staff clock in, take breaks and clock out on their own phone, at a shared kiosk or with a tap on a tag. The server checks every clock-in against your rules, and you see it on the live board within seconds.

Free for up to 10 people, with every feature. Not a trial.

How it works

  1. Set your rules

Clock-in policies say which ways each team can clock in (GPS, NFC tag, QR code or kiosk) and whether they must be inside the site's fence.

  2. Staff clock in

One big button for Clock in, Start break, End break and Clock out. A tap that's sent twice still only clocks someone in once.

  3. You see it live

The live board shows who's in, on a break or out at each site. Hours flow into timesheets, ready to approve and export.

A staff app that opens from a link

There's nothing to download from an app store. Staff open KiteClock in their phone's browser, on iPhone or Android, and add it to their home screen. Each person signs in with their own account.

The time comes from KiteClock's server, not the phone, so a phone set to the wrong time can't change anyone's hours.

  • Clock in, breaks and clock out on one button
  • Their rota, their week and time off in the same app
  • Reminders to clock in, clock out and take a break, which they can turn off

Clock-in rules for each team

A clock-in policy decides how a team clocks in. Office staff might clock in anywhere by phone; guards might have to tap the NFC tag at the gate and be inside the fence; a warehouse might use a kiosk by the door.

Every clock-in records how it was made and under which policy, so timesheets and exports show it.

  • GPS: inside the fence, or recorded wherever they are
  • NFC tag, QR code or kiosk as options or required
  • A different policy for each person or team
KiteClock clock-in policies: a Security on site policy that needs GPS inside the fence and allows NFC tags.

See who's in, right now

The live board updates within seconds of each clock-in: who's working, who's on a break, who's out, which site they're at and whether they were inside the fence.

Drivers and mobile staff can log trips away from site (Leaving site and Back at site) and the board shows how long they've been out.

  • Filter by site and search by name
  • Inside or outside the fence on every clock-in
  • Late and not-in-yet badges for people on set hours

Handled for you

Forgotten clock-outs

A shift left open past your limit (13 hours by default) is closed automatically and flagged for a manager to check.

Breaks

Paid and unpaid break types, with a 20-minute break per 6 hours by default. Missed, short and late breaks are flagged.

New phones

A clock-in from a phone KiteClock hasn't seen for that person before is flagged on their timesheet.

Questions

Do staff need to download an app?

No. The staff app opens in the phone's web browser from a link, on iPhone and Android. They can add it to their home screen so it opens like an app.

Can staff clock in without a smartphone?

Yes. A shared tablet can be a kiosk: each person taps their name and enters their own 4-digit PIN.

What if someone forgets to clock out?

KiteClock closes a shift that has been open longer than your limit (13 hours by default) and flags it, so a manager can put the right time in, with a reason.

Can someone clock in for a friend?

Each person signs in with their own account, and you can require them to be inside the site's fence, tap the site's NFC tag or scan its changing QR code to clock in.

Does it work without signal?

Clocking needs a connection, because the time and the location check come from the server. If a tap can't be sent, the app keeps it and shows a Retry button.

Does it track where staff are all day?

No. The location is read once, at the moment someone taps, and never in the background.
