Approved hours into Sage 50 Payroll
KiteClock makes Sage 50 Payroll's Employee Payments (Hours and Rates) import file, with each pay type mapped to your Sage payment reference, so hours land on the right payments.

How it works
Map your payments
In the Sage template's settings, map each KiteClock pay type to a Sage payment reference.
Export the period
Close the pay period in KiteClock and export with the Sage 50 template.
Import in Sage
In Sage 50 Payroll: File > Data Import, Employee Payments (Hours and Rates).
What's in the file
Four columns in Sage's order: Employee Reference, Payment Reference, Hours and Rate. One row per person per payment, with hours in decimals.
Rate is left empty on purpose, so Sage keeps the rate set on that payment. Only variable payments import; global and fixed payments don't.
- Sage's own column order
- Rate kept in Sage
- Holiday and paid leave mapped to payments
| Employee Reference | Payment Reference | Hours | Rate |
|---|---|---|---|
| NF014 | 1 | 41.17 | |
| NF027 | 1 | 41.17 | |
| NF027 | 21 | 15.00 |
Nothing left unmapped
Every pay type and every paid leave type in the period must be mapped to a Sage payment reference. If one isn't, the export stops and lists what's missing, so hours are never dropped.
- Unmapped pay types listed
- Paid leave mapped too

Questions
Which Sage payroll does this work with?
Sage 50 Payroll, the UK desktop software. Sage Payroll (cloud) has no documented hours import, so there's no file for it.
How do I import the file?
In Sage 50 Payroll choose File > Data Import and the Employee Payments (Hours and Rates) import. It updates hours on payments already set up for each employee.
Why is the Rate column empty?
So Sage keeps the rate set on each payment. KiteClock sends hours.
How are employees matched?
By the Employee Reference: set each person's Sage employee reference as their payroll number in KiteClock.
