Approved hours into BrightPay, without retyping
KiteClock makes BrightPay's Import Hourly Payments CSV with the official column headers, so BrightPay's Match Header Row maps it straight away. One row per person, matched by works number.

How it works
Set payroll numbers
Give each person their BrightPay works number on KiteClock's Staff page.
Export the period
Close the pay period in KiteClock and export with the BrightPay template.
Import in BrightPay
Cloud: Payroll > Import. Desktop: Payroll > More > Import Pay Records from CSV File > Import Hourly Payments.
What's in the file
Normal hours go in Payment 1, with overtime summed by multiplier into BrightPay's time and a half, time and a third, time and a quarter, double, triple and quadruple time columns.
Approved holiday goes in as Payment 2 and other paid leave as Payment 3, in normal hours. There's no rate column, so BrightPay pays its own standard rate for each employee.
- Official BrightPay header row
- Overtime by multiplier
- Holiday and other paid leave included
| Employee works number | Employee first name | Employee surname | Payment 1 - Number of normal hours | Payment 2 - Number of normal hours (Holiday) |
|---|---|---|---|---|
| NF014 | Aisha | Khan | 41.17 | 0.00 |
| NF027 | Grace | Wilson | 41.17 | 15.00 |
| NF003 | Priya | Sharma | 41.17 | 0.00 |
When the file won't be made, and why
If a pay rule uses a multiplier BrightPay has no column for (for example ×1.1), the export stops and names it, rather than paying those hours at the wrong rate without anyone noticing.
For irregular-hours staff whose holiday pay is a 52-week average, choose to leave paid leave out of the file and record their holiday in BrightPay; the export notes list who had leave so nothing is missed.
- Fails loudly, never pays the wrong rate
- Leave types can be left out, and listed in the notes
- Drafts clearly labelled before the period closes

Questions
How do I import KiteClock hours into BrightPay?
Export the closed pay period with the BrightPay template, then in BrightPay Cloud choose Payroll > Import, or in Desktop Payroll > More > Import Pay Records from CSV File > Import Hourly Payments.
How are employees matched?
By the works number: set each person's BrightPay works number as their payroll number in KiteClock.
Does the file include holiday?
Yes. Approved holiday goes in as Payment 2 and other paid leave as Payment 3, in hours, unless you choose to leave it out.
What rate does BrightPay use?
Its own standard rate for each employee: KiteClock sends hours, not rates, for the BrightPay file.
What if my overtime multiplier isn't in BrightPay's columns?
The export stops and names the pay type, so it can be fixed instead of paid at the wrong rate.
