Approved timesheets in KiteClock, ready to export to payroll.

How it works

  1. Close the period

Approve the timesheets and close the pay period. Payroll exports need a closed period; drafts are clearly labelled.

  2. Pick the file

Choose BrightPay, Sage 50 Payroll, Xero Payroll UK or a CSV of your own design.

  3. Import it

Download the file (the link works for 5 minutes) and import it into your payroll software.

Files in the format your payroll expects

BrightPay gets its Import Hourly Payments CSV with the official headers: normal hours as Payment 1, holiday as Payment 2 and other paid leave as Payment 3. Sage 50 Payroll (UK desktop) gets its Employee Payments hours and rates file.

Xero Payroll UK doesn't import timesheet files, so KiteClock gives you the hours laid out like Xero's timesheet lines, ready to enter in Xero. A generic CSV or XLSX lets you choose the columns for anything else.

  • Matched by payroll number
  • Decimal hours to 2 places, real zeros, ISO dates
  • No contact or bank details unless you add them

Holiday and sick leave go in too

Approved leave is added by type: holiday, sick, family and other leave, paid and unpaid. You can leave a leave type out of a file; anything left out is listed in the export notes so it isn't missed.

Each person's holiday balance (accrued, taken, booked, carried over, expired and remaining) can go in the file as at the last day of the period.

  • Leave by type
  • Holiday balances
  • Notes for anything left out

What KiteClock leaves to your payroll software

KiteClock sends hours, not pay calculations: holiday pay rates, Statutory Sick Pay, tax and payslips stay in your payroll software, where they belong.

KitePay, the Kite family's UK payroll software, will take approved hours straight from KiteClock once the link is ready.

Built for payroll day

Locked first

A payroll export needs a closed pay period, so the hours can't change after the file is made. Drafts say "UNLOCKED – may change".

Safe files

Cells are protected against spreadsheet formula injection, and download links expire after 5 minutes.

Other reports

Timesheet, shift report, break exceptions, audit log, absences, leave balances and the leave ledger.

Questions

Which payroll software does KiteClock work with?

It makes import files for BrightPay and Sage 50 Payroll (UK desktop), a timesheet file laid out for Xero Payroll UK, and a CSV or XLSX with the columns you choose.

Does KiteClock work out holiday pay or SSP?

No. It sends the hours, including holiday and sick leave by type; your payroll software works out holiday pay, SSP and tax.

How are people matched in the payroll software?

By payroll number: the works number or employee reference you set on each person in KiteClock.

Can hours change after I've exported them?

Payroll exports need a closed pay period, which locks the hours. Reopening needs an admin and a reason, and is logged.

Can I export to Xero automatically?

Not yet. Xero Payroll UK doesn't import timesheet files, so KiteClock gives you the lines in Xero's layout. A direct link to KitePay, the Kite family's payroll, is on the way.

Are holiday balances included?

Yes, if you choose them: accrued, taken, booked, carried over, expired and remaining holiday as at the end of the period.
