Attendance tracking: late, no-shows and left early

Give people a work pattern or a rota and KiteClock compares every clock-in with it: on time, late, not in yet, no-show or left early, on the live board and on timesheets.

Free for up to 10 people, with every feature. Not a trial.

The KiteClock live board with a Late · 30 min badge for Tom Hughes and a No-show for Callum Reid.

How it works

  1. Set expected hours

Assign a work pattern (fixed, rotating or flexible), or judge attendance against the published rota.

  2. Clock-ins are compared

Each clock-in is checked against the expected start, with grace minutes (5 by default).

  3. You're told

Badges on the live board, optional not-in-yet alerts, and issues on timesheets if you want them.

Work patterns for every way of working

No set hours (the default), flexible with core hours, fixed weekly hours, rotating patterns such as 4 on 4 off, or from the rota. Patterns are assigned from a date, with a reason.

People with no set hours are never marked late. Someone on leave or a bank holiday isn't expected in.

  • Fixed, rotating, flexible or from the rota
  • Grace of 0 to 30 minutes
  • Leave and bank holidays respected

Late, not in yet and no-show

Lateness counts from the scheduled start: clocking in at 09:07 for a 09:00 start is "Late · 7 min". Not in yet, no-show and left early follow the day, and left early only counts once the expected end has passed.

Turn on not-in-yet alerts and the site's managers (or admins) get one message per shift at the start time plus grace plus 15 minutes.

  • Badges and filters on the live board
  • On-time % on each person's page
  • One alert per shift, off by default

Day changes without a full rota

For small teams without a rota, a day change records a day off, one-off hours or an extra shift, cover or a swap. Attendance, alerts and the staff app follow it, and each change needs a reason.

On timesheets, late, left early and no-show can be off, shown (the default), or shown and blocking approval until a manager has looked.

  • Day off, cover and swaps
  • Your choice of how strict
  • Neutral wording for staff

Questions

How does KiteClock know someone is late?

It compares their clock-in with their work pattern or published rota shift, after your grace minutes (5 by default). Clocking in at 09:07 for 09:00 shows "Late · 7 min".

Can I get an alert when someone hasn't turned up?

Yes. Turn on not-in-yet alerts and the site's managers get one message per shift, 15 minutes after the start plus grace.

Will staff on flexible hours be marked late?

No. People with no set hours are never late, and flexible patterns only check core hours.

Does lateness change pay?

No. Pay always uses the time actually clocked; attendance is for managers to see and act on.

Can lateness stop timesheet approval?

If you choose. Late, left early and no-show can be off, shown on timesheets, or shown and blocking approval.
